Job Description: Administrator

Reports to:                Business Manager

Based at:                    Colchester Night Shelter

Hours of Work:         25 hours per week Monday – Friday (flexible between 9.30am – 6pm)

Salary:                        £11,700 per annum (6 month contract with the possibility of extension

The Administrator will implement the aims, objectives and overarching philosophy of the Shelter. This offers direct access short term accommodation to homeless people over 18 years of age. The aim is to accept everyone as a valuable individual, with needs as well as talents, regardless of race, gender, sexual orientation, physical or mental impairment, political, cultural or religious outlook

The Shelter reflects its belief that people can learn from their mistakes and see the opportunities for learning and changing

Key Responsibilities

Providing administrative and office support activities for the smooth running of the Night Shelter’s busy office.

The Administrator will:

  • Co-ordinate efficient office services;
  • Answer the telephone and direct calls to the correct staff members;
  • Collate and prepare statistical information for funders
  • Prepare the weekly Housing Benefit register and answer queries and follow up unexplained non-payments or reduced payments.
  • Arrange meetings, functions and other events;
  • Produce correspondence and documents efficiently and accurately;
  • Assist the Team with administrative functions;
  • Maintain records for holidays and sickness for all staff;
  • Take and transcribe minutes of meetings;
  • Liaise closely with other members of staff, as and when appropriate;
  • Monitor collection of the daily service charge payment from residents to ensure prompt payment;
  • File financial and other key documents;
  • Keep records of all donors and correspond directly to maximise Gift Aid
  • Issue the quarterly newsletter in conjunction with the Team
  • Ensure that DBS checks are kept up-to-date and support the Business Manager with volunteer paperwork
  • Understand, implement and comply with all CENS procedures;
  • Keep updated all relevant filing systems, whether electronically or on paper files;
  • Any other administrative support to assist in the smooth running of CENS.Experience and Qualifications
  •      Experience of working with Microsoft including Word and Excel and Case Management Systems.Skills
  • Good organisation skills.
